What is FM scanning? / 02

Building documentation as operational infrastructure.

For 30 years your building will operate, evolve, and need decisions made about it. Where's the panel? When was that pump replaced? Can we route conduit through this wall? Facility management scanning answers those questions in seconds, not site visits.

We capture the building with Matterport Pro3 laser scanning at 20mm accuracy, tag every piece of equipment in 3D space, link the geometry to your CMMS, and rescan on a schedule so the documentation stays current as the building changes. The scan dataset becomes a layer of your operational stack — like an HVAC system or a security platform.

This isn't AEC documentation borrowed and rebranded. It's purpose-built for the people who keep the lights on, the air conditioned, and the equipment running for the next three decades.

An FM scan pays back across the asset's life.

A building gets scanned for AEC reasons in year 1, but the scan is most valuable in years 5, 10, 20, and beyond. Here's how the data earns its keep over time.

Y1
Capture

Baseline scan

Building scanned, asset database built, CMMS connected. The ground truth gets locked in before drift begins.

Y3
Operate

Daily reference

FM team queries the scan dozens of times per week. Tenant change? Equipment failure? Code review? All resolved without site visits.

Y7
Renovate

First major capex

Tenant fit-out or major retrofit. Designers work from the scan instead of remeasuring. Project starts a month earlier.

Y15
Replace

Equipment turnover

Major HVAC, electrical, or plumbing replacements. The scan tells your contractors exactly what's there before they cut.

Y25
Sell or refinance

Asset documentation

Buyer or lender wants documentation. You hand over a scan archive going back 25 years. Diligence closes in a fraction of the time.

Six deliverables, built for operators.

An FM engagement isn't just a one-time scan and a CAD file. It's a documentation platform that updates over time and integrates with the systems your team already uses.

FM scanning replaces a stack of recurring costs that show up across capex, opex, and labor budgets. Here are the four most common.

/ 01
~40%
Reduction in field-measurement time

Designer site visits

Every renovation, fit-out, or capex project starts with field measurement. With FM scan data on file, that two-week field trip becomes a one-day verification. Architects start in DD on day one.

"Our $4M renovation kicked off two weeks earlier because the scan was already there."
/ 02
15hrs/wk
FM team time recovered

Tribal-knowledge lookups

"Where's the panel?" "When did we last service that pump?" "What's behind that wall?" The FM team spends hours a week answering these. With a scan + asset database, the answers are one click away.

"My senior tech retired and we didn't lose 20 years of building knowledge with him."
/ 03
~25%
Fewer change orders on capex

Surprise conditions

Most renovation change orders trace back to "we didn't know that was there." Scan data eliminates the surprise — every wall opening, every routing constraint, every existing condition is documented before bid.

"Change order budget on the new MEP rough-in came in 28% under our historical baseline."
/ 04
~3days
Faster sale or refinance close

Diligence acceleration

When the building sells, refinances, or attracts a major tenant, due diligence requires comprehensive documentation. A scan archive turns weeks of doc collection into a single export.

"The buyer's diligence team got everything they needed in a single Matterport URL."

Your existing FM stack — preserved.

The scan integrates with the tools you already use. We don't ask you to replace your CMMS or BAS — we connect to them. Your data stays portable.

From scope to deployed FM platform — in 6–10 weeks.

FM engagements are bigger than typical AEC scans because they involve asset tagging, system integration, and team training. Here's the standard four-phase rollout.

01

Discovery & scope

Walk through your facility, your CMMS, your BAS, and your team's actual workflows. We scope the engagement to what you need — not a one-size template.

~1 week
02

Site capture & tagging

Matterport Pro3 laser scan at 20mm accuracy plus asset tagging on-site. Our techs walk every space and identify equipment to your asset register.

1–2 weeks on-site
03

Build & integrate

Twin assembly, asset database build, and integration with your CMMS, BAS, and other systems. Custom dashboards configured.

3–6 weeks
04

Deploy, train & iterate

Platform goes live; team training sessions for FM, ops, and any tenant-facing users. First quarterly review at 90 days.

Different facility types, same operational needs.

FM scanning serves any facility where the cost of operating the building over its life is a significant line item. Here's how the engagement looks across three common scenarios.

/ FOR HEALTHCARE

Mission-critical spaces.

Hospitals, surgery centers, labs. Asset density is high, code compliance is constant, and downtime is unacceptable. Scans + asset databases keep ops, eng, and FM teams on the same page.

  • Joint Commission readiness
  • Medical gas & clinical equipment tracking
  • Infection control documentation
  • Annual rescan as part of capex cycle
/ FOR HIGHER ED & CAMPUSES

Campus-scale operations.

Multi-building portfolios where the FM team manages dozens of structures with different ages, conditions, and use patterns. Centralized scan archive makes campus-wide planning possible.

  • Portfolio-level capital planning
  • Deferred maintenance prioritization
  • Sustainability & energy reporting
  • Tenant fit-out coordination
/ FOR INDUSTRIAL & CRE

High-asset-value facilities.

Manufacturing, data centers, logistics, large CRE. Equipment is the asset; downtime is the cost. Scanning + asset tagging directly supports operational continuity and resale value.

  • Equipment lifecycle tracking
  • Capex planning & replacement scheduling
  • Refinance & transaction documentation
  • Insurance & warranty record-keeping

Questions about FM scanning.

Don't see yours? Email us at [email protected] — we usually respond same day.

Is FM scanning different from regular as-built scanning?

+
Yes. As-built scanning produces drawings; FM scanning produces an operational platform. Same scan data underneath, but the deliverables, integrations, and engagement structure differ. FM scanning includes asset tagging, CMMS/BAS integrations, scheduled rescans, and ongoing service — typical AEC scans don't.

Do we have to replace our CMMS or BAS?

+
No. We connect to whatever you have — Maximo, Fiix, ServiceChannel, Niagara, Metasys, you name it. The twin becomes the visual front-end of your existing systems. Your team's workflows don't change; they just get a new way to access the data.

How does the asset tagging work?

+
Our techs walk the site with a tablet linked to your asset register. Each piece of equipment gets matched to its database record and pinned in 3D space. Standard tagging covers MEP, electrical, plumbing, fire protection, and major architectural assets. Custom asset categories supported.

What's the typical rescan cadence?

+
Annual is standard. Some clients (hospitals, data centers) do biannual; some lower-change buildings do every 18–24 months. The system identifies what's changed between scans automatically — you don't have to remember everything that happened.

Can we add buildings to the engagement over time?

+
Yes — most multi-building portfolios start with one or two pilot buildings, then add more as the FM team sees the value. We've added single buildings to existing engagements and we've also done full 30-building campus rollouts in 6 months. Whatever fits the budget cycle.

How do you handle confidentiality and security?

+
Standard NDAs. Master service agreements. SOC 2-compliant hosting available. For high-security environments (government, defense, healthcare PHI), we deploy on your tenant under your security policies, with role-based access, SSO, and audit logging. We've worked with FedRAMP-adjacent and HIPAA environments.

What does an FM engagement cost?

+
Initial baseline engagement: typically $1.50–$3.50/sf depending on asset density and integration complexity. Annual rescan + service: 30–40% of baseline. Multi-building or campus engagements get volume pricing. All proposals are fixed-fee with clear scope — no time-and-materials surprises.

How do you compare to other FM scanning firms?

+
Three differences. One, we don't try to lock you into a proprietary platform — your data stays portable to whatever FM stack you adopt next. Two, our engagements are structured for multi-year continuity rather than one-time transactions. Three, our team includes facility management practitioners, not just scan techs — we know what FM directors actually need from documentation.
